Email archives are a valuable source of information and evidence. As more institutions grapple with challenges, and as others realize the full potential of email archives as a resource, age-old questions are being looked at anew.   The goal of the EA symposium is to highlight the ways that now, more than ever,  we can and must fully integrate email preservation and access into archival practice.

The Email Archives: Building Capacity and Community program is pleased to announce a Call for Contributions for the Email Archiving Symposium.  The symposium will take place over the course of three days and online, from June 13 to June 15, 2023

The information revolution has allowed us to connect and collaborate in an instantaneous way, and email has proven to be a critical technology from the 1980s through the present. Whether business to personal communication, email provides a vital record of activities and interactions. By looking at messages sent over email, we can see not only how people communicated in the past, but how they made decisions or influenced each other. 

Email archives are a valuable source of information and evidence. As more institutions grapple with challenges, and as others realize the full potential of email archives as a resource, age-old questions are being looked at anew.   The goal of the EA symposium is to highlight the ways that now, more than ever,  we can and must fully integrate email preservation and access into archival practice.  Whether it’s libraries, archives, museums, government, or corporations, every institution that uses email needs a solution for managing and archiving it.

The symposium will explore the current state of email archiving and reflect on future opportunities for progress. We welcome contributions on all aspects of email archiving including:

  • Discovery and uses of email archives
  • Social and cultural value of email records and collections 
  • Email management and retention policies and practices
  • Technologies for managing email archives
  • Outstanding community needs and future developments
  • Email as a resource for research and scholarship


The deadline for submission is Friday, March 3, 2023.

  • Session Title
  • 200 – 250 word abstract for all types of contributions.
  • Presenter Information (Note: Only 4 presenters per presentation allowed.)

Project Briefing

We invite you to share a briefing about your email archiving project. Project briefings address state-of-the-art developments and issues of interest to those in attendance. There is limited space for project briefings. There will be 30 minutes for the briefing with 15 minutes for Q&A.

panel

We invite proposals for panel discussions during the symposium program. Panel sessions bring together complementary or conflicting perspectives on a topic of importance to email archiving. They should promote discussion among the panelists and with the audience. Panels will be 30 minutes with 15 minutes for Q&A.  

game

This category allows for game formats that can be hosted online and explore any aspect of email archiving. The proposed game can be at any stage of development or design, from idea to beta version to a game that is already developed and ready to try, provided that it will be ready to play at the time of the symposium.

lightning talk

Lightning talks are short (no more than 15 minutes) on any relevant topic, or theme followed by any remaining time for attendees to ask questions and discuss.
